Kägi Söhne, a Swiss confectionery company with a rich heritage dating back to 1934, is renowned for its iconic and premium chocolate wafers that delight consumers worldwide. The company’s unwavering commitment to quality and tradition has secured its reputation as a market leader. However, behind the scenes, its internal processes struggled to keep pace with modern business demands. As Kägi’s operations expanded, inefficiencies in expense management began to hinder productivity and strain resources. Manual workflows and outdated processes made it increasingly difficult to manage expenses, particularly for employees travelling internationally.

The Growing Pains of Manual Workflows in a Growing Business

Before Perk, employees returning from business trips would hand in stacks of receipts, which had to be meticulously entered into Excel spreadsheets by the finance team. These documents were physically attached to paper forms, reviewed, and processed for reimbursement—a procedure that often took two to four weeks, or even longer.

“The entire process was tedious, error-prone, and far too slow for a modern business,” Roger Mock, Head of Finance and HR at Kägi Söhne, explained. The company needed a modern solution to simplify and accelerate its workflows while maintaining accuracy and compliance.

Streamlining Expense Management: Faster, Smarter, and Tailored for SMEs

Kägi Söhne was clear about their requirements. “We didn’t want a complex system that would be difficult to implement and manage,” Roger shared. “We needed a solution that was straightforward, automated, and fit for SMEs. Perk stood out as a young, dynamic company offering an end-to-end digital solution and direct integration capabilities.”

The implementation process, led by Roger himself, was completed within just eight weeks. Close collaboration with Perk’s team ensured a smooth and timely transition, despite the complexities of integrating with Kägi’s existing systems.

Today, Perk is used across all levels of the organisation, from apprentices to executives. Whether it’s the CEO travelling internationally or an apprentice submitting a lunch receipt, the system handles it all efficiently, delivering tangible results. Since adopting Perk, Kägi Söhne has achieved an efficiency gain of 124%, doubling productivity by 2.24 times.

Speeding Up Processes and Enhancing Employee Experience

One of Perk’s standout features for Kägi Söhne has been its AI-driven capabilities. Automated receipt scanning and categorisation have significantly reduced the workload for the finance team while improving accuracy. “The system reads receipts, suggests categories, and moves them through the approval workflow with minimal intervention. For our international employees, it’s even more valuable. Perk can process receipts in any language, whether they’re in Arabic, Chinese, or German. That’s been a game-changer,” Roger noted.

Since implementing Perk in 2020, Kägi Söhne has experienced dramatic improvements in efficiency. Processes that once took weeks to complete can now be processed in days, freeing up valuable time. Faster reimbursements have also enhanced the overall employee experience and allowed the team to shift focus to more strategic priorities.

“Perk has made expense management seamless for us,” Roger concluded. “It’s efficient, accurate, and saves us an incredible amount of time.”
